Set Up Your Message Signature

A signature adds a short introduction at the end of your replies, such as your name, team, and an approved contact detail. It saves repeated typing and helps customers identify the person responding. Setup has two separate parts: save the signature in your profile, then enable its use in the reply composer.

Write a signature suited to conversation

Open User menu → Profile Settings → Message Signature. Enter the text in the editor and save using the signature’s own button. A simple example is:

Start with a clear, short signature. Add links or extra details when they help the customer. A long block can overwhelm a brief reply, especially in a mobile conversation. If you use formatting or an image, test it on the intended channel before relying on its appearance.

Enable it in the reply composer

Open a test conversation in Reply mode. Use the signature control in the composer to enable sending with a signature, then inspect the message before sending. If signature use is enabled but no signature text has been saved, the interface may prompt you to set one up.

The preference is stored by channel type. Check it when moving from email to another channel. If several inboxes share a channel type, do not assume the selection is isolated to only one of those inboxes.

The signature control is not part of private notes and is also absent in some comment contexts. If you cannot find it, confirm that you are composing a public reply in an appropriate conversation before editing the profile again.

Check the received message

Send a short reply to a test recipient and inspect it from the recipient’s side. Check the name, line breaks, links, and any image. The composer uses rich formatting where the context supports it and may use plain text elsewhere, so the appearance need not be identical across channels.

Avoid manually typing the same signature into a reply while automatic inclusion is enabled. If canned replies already contain an agent’s name or contact block, inspect the result for repeated closing text.

Change or disable the signature

To update the details, return to the signature section, save the new text, and inspect the next draft before sending. This does not edit messages customers have already received. To stop including it, turn off the signature control for the relevant channel type and check the outgoing text.

If a saved signature is missing, work through three questions: did saving succeed, is inclusion enabled for this channel type, and are you composing a reply or a private note? That is more useful than repeatedly retyping the signature.
